Establishing an Employee ID Card System

A simple plastic card is not the sole way to secure your facilities, but the identification badge provided to employees can, when implemented with proper procedures and guidelines, provide a safe environment for people to work. Following you will find considerations for establishing and implementing an id badge system. Components of a Printer System Printer Printer choices are often limited by the card requirement. You will need to know if the card to be printed will be single or dual sided. Special features such as holograms and embedded information will require a specific model of printer in manufacturer selections. Software Software is best selected by thinking about current badge needs and future plans. Entry level software will produce a professional looking badge, however, it will not provide some capabilities such as networked computer printing or specialized card making functions. Analyzing software capabilities and reviewing upcoming company plans may make the best software obvious. Camera Great photos make employees more pleased with the badge wearing requirements. Options of high powered and simple cameras are available. Some choose a simple digital camera that can be picked off the shelf to provide convenient and affordable picture taking. Cardstock ID cards are normally printed on PVC cards that are labeled image grade. For cards that are highly secure or have multifunctional purposes, a specialized card may be needed. For expensive id cards, there is an option to reuse cards by sticking a thin identification card with a sticky back on to the advanced level card. This preserves some cost when the functional card can be reused by another when an employee leaves. Supplies Costs for replacement ribbons, cards and cleaning kits are needed in your id card making budget. If the cards will be worn, badge holders or clips may be needed for visible wearing. Plans for badge making day Plan the details of the day the photos are taken. Provide a professional looking backdrop and have each employee sit at the same angle and look at the camera the same way. Good looking pictures will increase the chances that some employees may actually enjoy wearing a badge. Schedule time slots for specific people or groups to have their pictures taken. Communicate the time and requirements frequently in newsletters, on bulletin boards and in other communication methods available. Once the pictures are taken, badges can be created and distributed by department. When distributing the badges, communicate important badge care issues to staff. Examples may be not to leave the badge in a hot car which can warp the card and damage the printing. Using the card as an ice scraper or to pry things are other examples of things not to do with badges. You may wish to implement policies for lost or damaged badges. Replacement fees for badges are common in business and educational settings. ID Badges are not the cure all of facility safety, but the badges are necessary in the processes of company security to provide the right kind of environment for organizational success.
